The essential fields
A good certificate identifies the issuing organisation, its registration details, the customer and the consignment reference used on the manifest and transport documents. It states the quantity processed, usually by weight, and the chemistry or type of battery involved. Dates of receipt and processing show when the material was handled and help auditors match the certificate to the right reporting period.
It should also describe the processing route in specific terms, such as dismantling, second-life grading, mechanical processing or hydrometallurgical refining. Without that description it is difficult to know whether the material was actually recycled or merely stored, traded or passed on to someone else. Vague wording such as processed in accordance with applicable regulations tells a reader very little. Ask for specifics whenever the route is unclear.

Recovery outcomes and downstream vendors
Credible certificates report outcomes by stream: modules sent to second life, black mass produced and metals recovered where the issuer controls refining. Per-metal figures are far more informative than a single aggregate percentage, which can conceal low recovery of the most valuable elements behind high recovery of heavy, low-value materials such as steel and aluminium. Ask for the figures behind any headline percentage before relying on it.
If material was passed to another company for further processing, the certificate should say so and name the downstream vendor. Producers need that disclosure to demonstrate that the whole chain met their obligations, not only the first handover. A certificate that stops at the gate of the first facility leaves a significant gap in the evidence. Requesting downstream disclosure should be standard practice for every consignment.

Using certificates in compliance
In India, EPR certificates generated through the central portal are used by producers to show that recycling obligations have been met, and recovery certificates from processors support those records with consignment-level detail. Elsewhere, certificates support producer responsibility reporting, sustainability disclosures, lender requirements and customer questionnaires, often all at once. Because the same certificate may be relied on by several audiences, its accuracy and completeness matter a great deal, and any error can spread quickly into multiple reports.
Keep each certificate together with its underlying consignment documents: the manifest, weighbridge records and transport declarations. That bundle allows an auditor to trace a figure in your report back to physical material that left your site on a specific date, which is ultimately the test every certificate is designed to pass. Store the bundle for at least the retention period your regulator requires.
