The purpose of an audit trail

An audit trail shows what happened to each battery after it left the holder's control: who moved it, where it went, what condition it was in, what testing found, and whether it was reused or recycled. Regulators use it to confirm obligations were met, and auditors use it to check sustainability claims.

The trail is only as strong as its weakest link. A gap between collection and intake, or a missing grading result, leaves room for doubt about whether the battery was handled properly or simply disappeared.

The fields that matter

At minimum, each record should identify the battery, describe its condition and state of charge at handover, name the transporter, and capture intake weight and date. Grading results and the chosen route follow, ending with a certificate or reuse record.

Photographs at handover and intake add strong evidence at low cost, particularly for damaged units. Digital records tied to serial numbers make retrieval fast when an auditor or regulator asks about a specific battery.

Keeping records usable

Records should be stored in a system that links documents to serial numbers and consignments, rather than scattered across email and paper. Retention periods should meet the longest applicable requirement, whether regulatory, contractual or tax related.

Periodic reconciliation, comparing batteries collected with batteries processed, catches gaps before an auditor does. Where discrepancies appear, they should be investigated and documented rather than quietly corrected.
